Global HR Automation Across 15 Countries | Case Study
How a global MedTech company runs 10+ HR processes for 16,000+ employees in 15 countries on Chronos Workflow Platform, managed by its own HR team, no code.

A global medical imaging company with 16,000+ employees in 15 countries runs its HR processes on Chronos Workflow Platform (CWP). Its HR team builds and maintains every workflow itself, in a no-code designer, without developers or IT tickets.

At a glance

  • 16,000+ registered users
  • 15 countries and languages
  • 10+ HR processes automated
  • 0 lines of code required

The challenge

Payroll and leave were covered by existing systems. But performance reviews, onboarding, contract approvals, travel claims and certificate tracking still ran on emails and spreadsheets. Running these processes the same way in every country, and in line with local rules, had become impossible to manage by hand.

The solution

The company chose CWP as a no-code HR process engine that works alongside its existing systems instead of replacing them. The HR team designs and changes every workflow in CWP's visual designer, and the first processes went live within days.

Key capabilities in use:

  • Multi-step approvals with deadlines, email notifications, delegation and substitution, applied the same way in all 15 countries.
  • Documents generated. Contracts and reports can be generated from templates and process fields as PDFs, with e-signature and timestamp support.
  • Parallel reviews. Several approvers work at the same time, so HR cycles don't wait step by step.
  • File uploads and editing. Staff upload certificates, invoices and diplomas, and edit documents remotely in the platform via WebDAV.
  • AI-powered tools:
    • AI Assistant. Ask questions about your processes in plain language. Answers come from your CWP data, link straight to the related forms, and show only what each user is allowed to see.
    • Generative AI in forms. Write, rewrite and polish text directly in eForm fields, such as descriptions, justifications or summaries.
    • AI invoice processing. Upload scanned invoices: AI reads them, extracts the selected information and fills it into the process fields, ready for approval.
    • AI report analysis. Describe what you want to learn from a report, and AI analyzes the data and sums up the findings in plain language.
    • AI summaries. Condense long documents or text into a short overview.
  • No-code configuration. The HR team builds and updates all workflows itself, with no IT dependency and no developer cost.

HR processes running on CWP

  • Recruitment and job approvals
  • Job applications and candidate management
  • Onboarding, starting from the approval of the new position
  • Offboarding
  • Goal setting and performance reviews
  • Travel requests: approval, expense settlement and its approval, and a trip report if needed
  • Contract management: approval, registration and renewals
  • Certificate tracking with renewal alerts
  • Overtime and leave approvals
  • Employee idea management (Kaizen)
  • Ticketing, as an alternative where Jira license costs have grown
  • Unique processes that exist only in this organization

"Now our HR team now owns every workflow. What used to take months of IT development now takes us a few days."Head of HR, global MedTech company

Where CWP fits in your HR landscape

Most established companies already run an ERP and several other systems. CWP fills the gaps: processes those systems don't cover, and modules a company doesn't use because extra licenses would be too expensive. ERP systems often include HR modules, but many companies don't use them. CWP runs the HR processes above next to your existing HR and payroll systems, without replacing them.

The same approach works outside HR, for example for contract management, invoice approval, complaint and claims management, and procurement requests.

Frequently asked questions

Does CWP replace our HR system or payroll?

No. CWP works alongside your existing HR, payroll and ERP systems, and automates the processes between them, such as approvals, onboarding, contracts and certificate tracking, etc.

Can HR build processes without IT?

Yes. In this case, the HR team builds and changes every workflow itself in CWP's no-code designer. IT is not needed for day-to-day changes.

Can one setup work across several countries?

Yes. The same approvals, deadlines and substitutions can run in all 15 countries, and CWP has 15+ languages built in. Each country can also have its own processes and deadlines where local decisions or rules require them.

How fast can HR processes go live?

In this case, the first processes went live within days. Most CWP projects go live in less than 30 days.

‍Note: CWP is integrated with Google Gemini, so HR teams can use AI features such as the AI Assistant, AI summaries, processing scanned invoices with AI and generative AI in forms directly inside their workflows. AI runs under a separate AI agreement or the company’s existing Google Cloud contract.
