Getting Started with CWP
CWP Getting Started Guide: build your first no-code workflow step by step with the Process Wizard

Chronos Workflow Platform (CWP) is a no-code, self-service platform for process automation and document management. This guide shows how your team builds a workflow in CWP, step by step, without coding.

At a glance

  • A few hours to 1–2 days for a simple process with 2–10 steps
  • 3–7 days for a complex process with 11–70+ steps, set up by a key user
  • 7 steps from process map to live workflow
  • 0 lines of code

Key terms

  • Business process: a set of linked activities that reach a business goal, such as an insurance claim, contract approval, holiday request or purchase request.
  • Workflow: the automation of a business process, where documents, information or tasks pass between participants under defined rules.
  • Workflow automation: software that runs a business process defined in a process plan, with its activities, rules and data.

The 7 steps

1. Sign in

For a demo, you get a dedicated web address and login. With a perpetual license, we install CWP on your own infrastructure at no extra charge. With a SaaS subscription, we set you up as the system administrator.

2. Design your process map

Administration › Document/Process Types › Import Process Design

Draw your process in the built-in drag-and-drop designer, with splits, joins, loops and sub-processes, or import it from MS Visio. We recommend the built-in designer to avoid step and routing issues. CWP is multi-language, so set up designs in your main language.

3. Add users, departments and roles

Administration › Organization › Roles

Add users and build an org hierarchy of any depth, or import it from Active Directory. AD sync never overwrites CWP admins. Assign step owners by role, so processes don't need editing when people change jobs.

4. Create a process type and category

Administration › Document/Process Types › Manage Categories

Create a new process type: choose the flowchart design, name, short name, category and position. Example categories: IT, HR, Purchasing, Customer service. New processes stay passive until you activate them.

5. Define eForm fields, visibility and layout

Right-click the process type › Fields

Add fields from 50+ field types, set what each step can see, and arrange the fields on a responsive 12-column form.

6. Set routing, owners and notifications

Activities › Routings

Set step transitions and conditions, and dynamic routings where users choose the path. Assign each step to a person, role or department, or route it automatically by field content or referenced master data. Add email notifications and deadlines per step, using your own templates.

7. Activate

Administration › Right-click the process type › Advanced Operations › Activate

Switch the process to active, and users can start jobs. The same menu holds database connections, system interfaces, WordMerge documents and the holiday calendar.

Fast lane: the Process Wizard

Prefer a guided route? The Process Wizard sets up a new process from a new or existing process design in a few clicks:

  1. Design: draw a new process design, or choose an existing one.
  2. Fields: edit form fields and their visibility per step, then check the form overview.
  3. Activities: set step owners and routing, then review the process.
  4. Activate: activate the process, and jobs can start.

Built in from day one

  • Reports and audit trail. Statistical, progress and performance reports with rich filters, Excel export, calculated fields, scheduled reports, graphical process history and a change-by-change audit trail.
  • Document management (e-Library). Folders, check-in and check-out, version history, metadata-based filing, WordMerge templates and time-stamped e-signatures.
  • AI-powered tools. The AI Assistant answers questions about your processes in plain language. Generative AI in forms helps write and polish text in eForm fields. AI invoice processing, AI report analysis and AI summaries are also available. CWP's AI runs on Google Gemini, under a separate AI agreement or your company's existing Google Cloud contract.

Frequently asked questions

Do we need IT or developers to set up a process?

No. A trained key user builds processes in the designer or the Process Wizard. IT is only needed for the initial setup, such as Active Directory import or system interfaces. Support service is available, but still optional.

Can we import our existing process maps?

Yes, from MS Visio. We recommend the built-in designer for the cleanest result. You can also copy an existing CWP process with all its settings, then rename and adjust it.

What happens when someone changes jobs?

If step owners are assigned by role or department, nothing needs to change in the process. Update the person's role, and their tasks follow.

How long until our first process is live?

A simple process takes a few hours to 1–2 days. Most CWP projects go live in less than 30 days.
